Terms and Conditions

At Guildford Dental Practice, we are committed to providing exceptional service and support to our patients. This document outlines our Terms and Conditions of service. Should you have any questions or require clarification, please do not hesitate to contact our team, who will be happy to assist you.

General Disclaimer

Information provided on any part of our website—including blog posts, news articles, galleries, or through phone, email, or social media platforms (e.g., Facebook, Instagram, Twitter)—is intended for general guidance only. It does not constitute professional advice. Dental advice can only be given following a clinical consultation with a registered dentist.
Please note that Guildford Dental Practice operates as a private practice only and does not hold an NHS contract with a Primary Care Trust.

Treatment Planning

Following your consultation, your dentist will provide a detailed written treatment plan. Should clinical or radiographic findings require changes to this plan, we will inform you and discuss the adjustments. Treatment plans remain valid for 30 days from the date of issue. If you have any questions regarding your plan, please raise them prior to scheduling treatment appointments.

Consent Forms

Some procedures require written consent. These forms provide thorough explanations of the treatment, associated risks, and post-care instructions to ensure you are fully informed before proceeding.

Fees and Payment Policy

  • We do not offer credit facilities. All treatment fees are payable at the time the service is provided.
  • For treatments involving laboratory work, a minimum of 50% of the total fee is due when impressions are taken.
  • Treatments such as Invisalign® and dental implants may be paid in staged installments as discussed and agreed in advance.
  • Finance options are available for treatment plans exceeding £500, excluding emergency services. Agreements must be approved and signed before treatment begins, and a deposit may be required.
  • Cancellation of financed treatment will incur a fee of up to 15% of the total finance amount.
  • Fees listed online or in promotional materials are for guidance only and may vary based on case complexity and patient suitability. For the most accurate and updated pricing, please contact our reception at 01483 573 907.
  • We do not accept cheque payments.
  • For appointments under IV sedation, full payment is required in advance.
  • Time-based deposits may be required for future bookings and will be applied toward treatment costs.
  • We reserve the right to charge for unpaid accounts referred to debt collection agencies.
  • Treatment costs are determined based on materials used, lab fees, and clinician time. These will be itemized in your treatment plan.

Free Consultations

  • One free consultation is available per patient for selected cosmetic treatments (Invisalign, teeth whitening, anti-wrinkle therapy).
  • A £49 deposit is taken at the time of booking. This is refunded one week after the consultation, provided the patient attends and requests the refund.
  • Refunds are not provided if the consultation is missed or canceled with less than 48 hours’ notice, or if no refund is requested.
  • Free consultations with dental specialists (e.g., orthodontists, oral surgeons) are not available.
  • Free consultations must be booked online only and are not available via phone or email.

Late Cancellations and Missed Appointments

  • Appointments canceled with less than 48 hours’ notice may be subject to a charge of up to £100 per hour.
  • For appointments longer than one hour, a minimum of 72 hours’ notice is required.
  • Patients arriving more than 10 minutes late may be asked to reschedule to ensure quality of care for all patients.

Treatment Guarantee

We provide a 12-month guarantee on the following treatments:
Lumineers, ceramic veneers, crowns, implant crowns, dentures, and dental fillings, provided:

  • Full payment has been received.
  • No damage has occurred due to accident, trauma, or bruxism (excessive grinding).
  • Post-treatment instructions have been followed.

Please note:

  • No treatment is guaranteed beyond 12 months.
  • Some treatments may carry shorter or no guarantees; your dentist will inform you accordingly.

Patient Responsibilities

Patients are responsible for:

  • Providing a complete and accurate medical history, including current medications.
  • Informing the clinic of any changes to personal or medical details.

Use of Images and X-rays

We may use anonymized images and x-rays of your smile for marketing or educational purposes. Your identity will remain confidential.
If you do not wish for us to use your images, please inform us.

Use of Contact Details

We may contact you via phone, text, email, or post for appointment reminders, updates, or promotional offers. If you prefer not to be contacted, please notify us of your preferences.

Complaints Policy

We strive to provide the highest level of care. Should you wish to make a complaint:

  • You may do so in writing (in person or via our online form).
  • Complaints should be directed to Practice Management.
  • You will receive written or emailed acknowledgment promptly.
  • We aim to resolve complaints within 2 weeks.
  • For clinical care or treatment-related concerns, we act as an intermediary between you and the treating dentist. Guildford Dental Practice accepts no liability for clinical treatment outcomes.

Zero Tolerance Policy

We have a strict zero-tolerance policy for:

  • Verbal or physical abuse toward staff
  • Disruptive, intoxicated, or disorderly conduct
  • Habitual lateness or missed appointments (after prior warnings)

 

We reserve the right to refuse treatment or access to the clinic under these conditions.

Data Protection

Patient records are securely stored in accordance with the Data Protection Act. Clinical records, x-rays, and photos remain the property of Guildford Dental Practice but can be made available upon request. An administration fee may apply for these copies.
